Wise May are looking for a proactive Receptionist to join a fast-paced and highly regarded investment management company based in the City of London. This is an excellent opportunity for an experienced Receptionist who enjoys being the go-to person in the office and thrives in a varied, people-focused role. This is much more than a front-of-house position, you'll be responsible for keeping the office running smoothly, supporting senior leadership, coordinating travel and meetings, and ensuring an exceptional experience for both employees and visitors. 
 
This is a full-time, permanent office-based position, with the working hours of 8:30am – 5:00pm.
 
Receptionist duties include:
  • Acting as the first point of contact for visitors, deliveries and office guests, providing professional front-of-house cover.
  • Managing the reception area including welcoming visitors and overseeing building access and security passes.
  • Coordinating global travel arrangements, including flights, hotels, while liaising closely with the companies travel agent.
  • Booking and preparing meeting rooms, ensuring they are tidy, stocked and ready for use throughout the day.
  • Ordering and replenishing office stationery, refreshments and supplies, and managing incoming deliveries.
  • Producing weekly travel updates and outlining upcoming travel schedules for the senior management.
  • Sending regular office communications regarding building maintenance, office disruptions and important employee updates.
  • Organising company events, including the annual Christmas party and fortnightly staff lunches.
  • Supporting the Office Manager with the smooth day-to-day running of the office and assisting with ad hoc administrative tasks.
Receptionist experience required:
  • Previous experience within a Receptionist role.
  • A professional communication style, with the ability to liaise with senior executives and the CEO on a daily basis.
  • Excellent organisational skills and exceptional attention to detail.
  • A proactive, hands-on approach with the confidence to use initiative and manage multiple priorities.
  • A mature and discreet manner when handling confidential information.
  • A positive, can-do attitude and a genuine enjoyment of working in a busy office environment.
